How to Bulk Import Tours
Save time by importing multiple tour drafts at once using an Excel spreadsheet.

Overview
The bulk import feature lets you create multiple tour drafts from a single Excel spreadsheet. This is ideal when you are onboarding your existing tour catalogue onto the platform and want to avoid entering each tour manually.
How It Works
- Download the template — We generate an Excel workbook tailored to your account with dropdown menus for tour types, accommodation standards, difficulty levels, and more.
- Fill in your tours — Add one tour per row. Use the dropdowns to pick values and type freely in text columns.
- Upload the file — We validate every row and show you a preview with any errors highlighted.
- Review and confirm — Check the preview, discard if needed, or confirm to create the drafts.
- Complete each draft — Open each imported tour in the editor to add photos, itinerary, activities, destinations, and other details before submitting for review.
What Gets Imported
The spreadsheet covers the core fields that are tedious to type repeatedly:
- Title and description
- Primary country (must match your verified business license)
- Duration in days
- Tour type, accommodation type and standard
- Difficulty and fitness level
- Group size limits and age restrictions
- Pricing (solo, 2 pax, 3–4 pax, 5+ pax) and currency
- Booking terms, cancellation policy, and special requirements
What You Add Later
Some information is best added through the tour editor after import:
- Photos — Upload at least 6 high-quality images
- Itinerary — Day-by-day schedule with activities and accommodation
- Activities — Game drives, walking safaris, boat trips, etc.
- Destinations — Parks and reserves the tour visits
- Operating countries — Additional countries for cross-border tours
- Best time to visit — Recommended months
File Requirements
- Format: Microsoft Excel (.xlsx) only. If you use Google Sheets, go to File → Download → Microsoft Excel (.xlsx) first.
- Maximum size: 10 MB
- Upload limit: Up to 5 uploads per hour
- One at a time: You can only have one import processing at a time
Using the Template
The downloaded template contains three sheets:
- Tours — The main sheet where you enter your data. Do not rename or reorder the columns.
- Lookups — Reference lists for all dropdown values. Use these to copy exact names into your rows.
- Instructions — A quick reference guide.
Columns with dropdown arrows enforce exact matches. Pick values from the list rather than typing them manually to avoid validation errors.
Reviewing Your Import
After uploading, you will see a preview of every row with a status:
- Ready — The row is valid and will be imported
- Errors — One or more fields have issues. Expand the row to see details.
- Over limit — Importing this row would exceed your subscription's tour limit
- No license — The primary country does not match any of your verified business licenses
Only rows marked Ready will be imported when you confirm. You can discard the import and upload a corrected file if needed.
After Import
All imported tours start as drafts. Go to your Tours page, open each draft, and:
- Add photos (required before submitting)
- Write the day-by-day itinerary
- Select activities and destinations
- Review all fields
- Submit for review
Once approved by our team, your tour will be published and visible to travelers.
Troubleshooting
- "The uploaded file is not a valid Excel workbook" — Make sure you are uploading an .xlsx file, not a .csv or .xls (legacy format).
- Rows showing as invalid — Expand the row to see which field has an error. Common issues: misspelled dropdown values, missing required fields (title, description, country, duration).
- Import stuck on "Queued" — The system processes files in the background. If it does not update after a few minutes, try refreshing the page.
- "You already have an import being processed" — Wait for the current import to finish before uploading another file.
